1. Scope & who we are
Zeropoint Dental LLC provides software and related services to dental practices and their teams. This Privacy Policy describes how we handle information in our capacity as the operator of the Services — for example, information about practice staff who create accounts, visitors to our website, prospective customers, and individuals who interact with us directly.
Information we process on behalf of dental practices is handled differently. When a dental practice uses the Services, we may process information — including patient information — on that practice’s behalf and under its direction. As between Zeropoint and the practice, the practice owns the practice and patient data it submits to or generates through the Services; Zeropoint claims no ownership of it and uses it only to provide the Services and as the practice directs. For that information, the practice (not Zeropoint) is responsible as the data controller and HIPAA Covered Entity, and our handling is governed by our agreement with the practice, including any Business Associate Agreement (see Section 2) — not by this Privacy Policy. If you are a patient of a dental practice that uses Zeropoint, please direct privacy questions to that practice and refer to its Notice of Privacy Practices.
2. HIPAA & protected health information
The Services are designed to support our customers’ compliance with the Health Insurance Portability and Accountability Act of 1996 and its implementing regulations, as amended (“HIPAA”). To the extent we create, receive, maintain, or transmit Protected Health Information (“PHI”) on behalf of a dental practice that is a HIPAA Covered Entity, we act as a Business Associate.
In that role, we enter into a Business Associate Agreement (“BAA”) with the practice that governs our permitted uses and disclosures of PHI, our safeguards, and our obligations in the event of a breach. Where a BAA applies, its terms control over any conflicting term in this Privacy Policy with respect to PHI. We use and disclose PHI only as permitted by the applicable BAA, HIPAA, and other applicable law, or as directed by the practice.
This Privacy Policy is not a HIPAA Notice of Privacy Practices and does not create any rights for patients against Zeropoint.
3. Information we collect
We collect the following categories of information:
- Information you provide. Account and profile details (such as name, business name, role, work email, and phone number), the email address you submit to be notified about our launch, billing and payment details, support requests, and any other information you choose to send us.
- Mobile number & SMS consent. If you opt in to receive text messages, we collect your mobile phone number and a record of your consent (including the date, time, and method of opt-in). See Section 5.
- Information collected automatically. When you use the website or Services, we may collect device and usage information such as IP address, browser type, operating system, pages viewed, referring URLs, and timestamps, collected through cookies and similar technologies (see Section 7).
- Information from third parties. We may receive information from service providers that help us operate the Services, such as payment processors, analytics providers, and fraud-prevention or identity-verification vendors.
We do not seek to collect PHI through our public website or marketing channels. Please do not submit PHI through web forms, email, or SMS.
Categories of personal information (California)
The following summarizes, by the categories defined under the California Consumer Privacy Act, the personal information we may collect and how we use and disclose it. We do not sell any of these categories or share them for cross-context behavioral advertising.

4. How we use information
We use the information described above to:
- provide, operate, maintain, and improve the Services;
- create and manage accounts and authenticate users;
- process transactions and send related information, such as confirmations and invoices;
- respond to your inquiries and provide customer support;
- send administrative and, where you have consented, marketing communications — including the text messages described in Section 5;
- monitor, secure, and troubleshoot the Services and prevent fraud or abuse;
- comply with legal obligations and enforce our agreements.
5. SMS / text messaging
Zeropoint does not sell, rent, or share mobile phone numbers or SMS opt-in consent with third parties or affiliates for marketing or promotional purposes. Information collected as part of the SMS consent process is used solely to deliver messages you have requested. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
Opt-in. We send text messages only to individuals who have expressly opted in to receive them — for example, by submitting a phone number and affirmatively consenting through a checkbox or keyword. Consent to receive marketing text messages is never a condition of purchasing any product or service.
Message types & frequency. Depending on the programs you opt into, messages may include account or transactional notifications and, where you have consented, occasional promotional messages. Message frequency varies.
Rates. Message and data rates may apply, based on your mobile carrier’s plan.
Opt-out and help. You can cancel at any time by replying STOP to any message; you will receive a confirmation and we will stop sending texts unless you opt in again. For help, reply HELP or contact us at hello@zeropoint.dental. Carriers are not liable for delayed or undelivered messages.
8. Data security
We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration — including encryption of sensitive data such as PHI in transit and at rest, access controls, and logging. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we become aware of a security incident affecting your information, we will notify you and any applicable authorities as required by law and, where PHI is involved, in accordance with HIPAA and the applicable BAA.
9. Data retention
We retain information for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention varies by data type — for example, account and profile data is kept for the life of the account; billing records are kept as long as required by tax and accounting rules; technical logs are kept for a limited period; and records of SMS consent and opt-out are retained as needed to document compliance with applicable messaging laws. When you close an account, we delete or de-identify the associated personal information within a commercially reasonable period (generally within 90 days), except where we are required or permitted by law to retain it. Information we process on behalf of a dental practice is returned or deleted as provided in the applicable BAA or customer agreement.
10. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, to opt out of certain processing, and to be free from discrimination for exercising these rights. Because we do not sell personal information or share it for cross-context behavioral advertising, there is no such activity to opt out of.
To exercise any right, contact us at hello@zeropoint.dental. We will verify your request and respond as required by applicable law. You may designate an authorized agent to act on your behalf where the law permits. If you are a patient seeking rights with respect to PHI, those requests are handled by your dental practice as the Covered Entity.
11. Children’s privacy
The Services are intended for businesses and are not directed to children under 13 (or, where applicable state law provides broader protection, under 16), and we do not knowingly collect personal information from children through the website or marketing channels. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
12. Data location & transfers
We operate in the United States and store and process information primarily on infrastructure located in the United States. Some service providers may process limited information from other locations, in which case we require appropriate safeguards. If you access the Services from outside the United States, you understand that your information will be processed in the United States, where data protection laws may differ from those in your location.
13. Third-party links
The Services may link to third-party websites or services that we do not operate. This Privacy Policy does not apply to those third parties, and we are not responsible for their practices. We encourage you to review their privacy policies.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice as required by law. Your continued use of the Services after an update means you accept the revised policy.
